Job Title: Administrative Assistant

Location: Inglewood, CA
Reports To: Director

Position Summary:
We are seeking a highly organized and tech-savvy Administrative Assistant to provide comprehensive administrative and digital support to the Director and broader leadership team. This position plays a critical role in ensuring efficient operations by managing calendars, coordinating meetings and travel, creating digital content, and supporting event planning efforts. The ideal candidate is a self-starter with strong communication skills, a creative eye, and the ability to handle multiple tasks with precision and professionalism.

Key Responsibilities:

Executive Support

  • Manage the Director's calendar, schedule meetings, and coordinate travel logistics.

  • Draft, edit, and proofread internal and external communications on behalf of leadership.

Administrative Operations

  • Maintain digital filing systems and manage incoming correspondence.

  • Prioritize and respond to requests, ensuring smooth day-to-day workflow.

  • Support cross-functional administrative needs as they arise.

Digital & Creative Content

  • Maintain and update content across platforms such as WordPress and SharePoint.

  • Design visually engaging materials including newsletters, infographics, and presentations using Canva.

  • Assist with basic HTML tasks, email marketing, and social media content (preferred).

Project & Event Coordination

  • Lead and coordinate special projects and events, such as staff recognition programs, trainings, and surveys.

  • Track project timelines, manage logistics, and ensure deliverables are met.

Additional Duties

  • Provide general office support as needed.

  • Take on additional administrative responsibilities based on department needs.

Education & Experience

  • Minimum of 1 year of experience as an Executive Assistant, Project Coordinator, or in a similar administrative role.

  • Experience in healthcare, public service, or workforce development environments is a plus.

Skills & Competencies

  • Strong written and verbal communication skills.

  • Proficiency in Microsoft Office Suite, Google Workspace, Zoom, and Microsoft Teams.

  • Experience with content management systems like WordPress and SharePoint.

  • Skilled in Canva for creating branded digital assets.

  • Strong attention to detail, time management, and ability to juggle competing priorities.

  • Ability to work independently and maintain confidentiality with professionalism.

  • Basic knowledge of HTML, email marketing, and social media management (preferred).

Additional Requirements

  • Must successfully complete a Live Scan background check through the County of Los Angeles.

Schedule: M-F 30 hours/ week
