Executive Assistant

In-Person | West Palm Beach & Fort Lauderdale, FL

TDW Marine is a trusted yacht service company providing reliable diesel and generator service to the yachting community. We operate with a strong commitment to integrity, responsiveness, and excellence.

We are seeking an  Executive Assistant who is highly organized, detail-oriented, and effective in a fast-paced environment. This role requires strong judgment, proactive problem-solving, and the ability to create structure, maintain priorities, and support executive-level operations.

This position is  fully in-person and requires regular presence in  both our West Palm Beach and Fort Lauderdale locations .

Key Responsibilities

Executive Support

• Manage complex calendars, coordinate schedules, and prepare leadership for meetings.

• Create clear, concise correspondence, briefing materials, and summaries.

• Handle confidential information with discretion and professionalism.

• Coordinate travel, logistics, and vendor communication.

Operational Coordination

• Track priorities, deadlines, and deliverables to ensure consistent follow-through.

• Establish and maintain internal communication rhythms to support alignment.

• Monitor open tasks and ensure timely completion across teams and departments.

• Assist with project coordination and implementation of operational processes.

Workflow & Systems Management

• Build and maintain systems that support efficiency and accountability.

• Prioritize effectively when handling multiple high-importance tasks.

• Organize information logically and maintain accurate documentation.

• Use technology—including AI tools— to streamline workflows and improve efficiency.

Communication & Collaboration

• Serve as a professional point of contact for internal and external stakeholders.

• Prepare agendas, meeting materials, and actionable meeting notes.

• Follow up with team members to confirm task status and ensure progress.

• Support effective communication across both office locations.

Qualifications

• 3+ years of experience as an Executive Assistant or similar role supporting senior leadership.

• Strong organizational skills and the ability to manage shifting priorities.

• Excellent written and verbal communication skills.

• Demonstrated ability to work independently and maintain momentum without constant direction.

• Experience creating or maintaining systems, processes, and tracking tools.

• Proficiency with digital tools such as Google Workspace, project management platforms, and AI-based tools.

• Professional presence, sound judgment, and a high level of discretion.

• Ability to work  on-site in  both West Palm Beach and Fort Lauderdale as needed.
