Executive Assistant

A higher education institution in Encinitas is seeking an experienced and polished Executive Assistant to provide high-level administrative support to senior academic leadership. This role requires exceptional organization, discretion, and the ability to manage competing priorities in a mission-driven environment. The Executive Assistant will act as a trusted partner, ensuring leadership can operate efficiently while supporting institutional goals.

Key Responsibilities:

• Provide direct administrative support to executive-level leadership
• Manage complex calendars, meetings, and academic scheduling
• Prepare correspondence, reports, presentations, and briefing materials
• Coordinate meetings with faculty, staff, and external stakeholders
• Serve as a primary point of contact for executive communications
• Track action items, deadlines, and follow-ups
• Assist with special projects, committees, and institutional initiatives
• Handle sensitive and confidential information with discretion

Qualifications:

• 5+ years of executive-level administrative experience
• Experience in higher education or academic environments preferred
• Exceptional written and verbal communication skills
• Advanced proficiency in Microsoft Office and scheduling tools
• Strong judgment, professionalism, and attention to detail
• Ability to anticipate needs and work independently
• Proven ability to manage confidential and high-priority matters
