Contract: W2, 3- Months (extension possible)

Location: Onsite – San Francisco, CA 94110

Pay Rate: $50-60/hr W2

Job Description:

We’re seeking an energetic, hands-on Workplace Events Coordinator to join our clients dynamic Workplace Events team. This team curates engaging experiences that foster innovation, collaboration, and community across the organization.

Responsibilities:

• Assist in planning and executing employee and client-facing events
• Manage day-of logistics including venue setup, catering, AV, check-in, and vendor coordination
• Collaborate with internal teams including facilities, AV, catering, and security
• Organize materials like signage, name badges, guest lists, shipping, and inventory
• Provide hands-on, on-site support during events and solve issues in real time
• Track event outcomes and feedback to measure success and drive improvement
• Align event experiences with OpenAI’s mission and cross-functional team needs

Requirements:

Mandatory:

• 2+ years of experience in event coordination, corporate hospitality, or related field
• Strong organizational and multitasking abilities
• Attention to detail and a proactive mindset
• Excellent communication and interpersonal skills
• Comfortable using Google Workspace (Docs, Calendar), Airtable, Jira, and Notion
• Willingness to work onsite 5 days/week and occasionally support evening events

Preferred:

• Experience with event management tools like Prismm or Swoogo
• Passion for workplace culture and employee engagement
