Security Guard Admin – Access Control, Reporting & Customer Service

The Security Officer is responsible for safeguarding personnel, facilities, and assets while providing a high standard of customer service. This role combines traditional security responsibilities with access control management, administrative support, and detailed reporting functions. The position requires professionalism, strong communication skills, technical proficiency, and strict adherence to security protocols.

Key Responsibilities:

  • Maintain a safe and secure environment by enforcing security policies, procedures, and regulations, and by providing a visible and professional security presence.
  • Deliver courteous and effective customer service to employees, visitors, contractors, and vendors, addressing questions, access needs, and concerns in a timely manner.
  • Communicate clearly and professionally with individuals at all organizational levels, both verbally and in writing.
  • Operate, manage, and maintain access control systems, including programming clearance codes, managing credentials, and configuring devices using Pro-Watch 5 or similar systems.
  • Process badge creation, issuance, modification, and deactivation in accordance with established security and identity verification procedures.
  • Manage workflow processes related to access requests, parking permits, and other security authorizations.
  • Generate, analyze, and distribute security reports from the access control system, including access activity, alarms, audit trails, and compliance-related reports, as required.
  • Monitor access control and security systems for unusual or unauthorized activity and escalate concerns to appropriate personnel.
  • Utilize computer systems and office productivity tools, including Microsoft Word, Excel, email platforms, and calendar scheduling applications, to support security operations.
  • Accurately document incidents, access changes, reports, merchandise sales, and other security-related data to ensure proper tracking, billing, accountability, and audit readiness.
  • Process merchandise sales in accordance with established cash-handling and accountability procedures, as applicable.
  • Follow written instructions, standard operating procedures, and security guidelines to ensure consistent and compliant operations.
  • Maintain confidentiality and exercise sound judgment when handling sensitive security and personnel information.

Qualifications and Skills:

  • Prior experience in customer service, security operations, or a related field.
  • Excellent verbal and written communication skills with the ability to interact professionally with diverse audiences.
  • Strong computer proficiency, including experience with Microsoft Office applications and security-related software systems.
  • Experience with access control systems and reporting functions; familiarity with Pro-Watch 5 is preferred.
  • High attention to detail and the ability to accurately document, track, and report security information.
  • Ability to work independently, follow procedures, and maintain a professional demeanor in all situations.
